Administrative Assistant II


Description of Duties:
The Administrative Assistant II will provide administrative support to the Dean of the Middleborough Center, as well as faculty and staff at the Middleborough Center.

*Schedules appointments and meetings for Middleborough Center students, faculty, and staff. Develops agendas and attends meetings as appropriate to take minutes and notes.
*Reserves rooms in Banner and prepares related schedules and calendars. Reports cleaning, maintenance, and technology issues to the Dean.
*Works collaboratively with administrative staff throughout the College to ensure that administrative tasks are efficiently and equitably accomplished.
*Provides customer service to prospective and incoming students, the general public, faculty of the Middleborough Center, and College staff by answering phones and email, and assisting walk-in traffic.
*Receives and manages inquiries regarding academic programs and requirements, course offerings and schedules, admissions and enrollment steps, student accounts status, and basic financial aid policies and status.
*Processes registrations and transcripts. Enters and updates student information and course schedules in Banner. Scans and indexes student documentation in Banner. Analyzes college transcripts for placement and/or credit.
*Assists students with the online portal, web payments, health insurance waivers and FAFSA.
*Processes purchase requisitions and order supplies. Accepts student payments, process waivers and third party contracts.
*Composes and organizes correspondence, reports, records, and memoranda for the Middleborough Center, as well as other clerical work. Proofreads and reviews materials, and exercises discretion in the handling of confidential information.
*Assists Dean with the planning of events and activities at the Middleborough Center.

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.

I. An Associate?s or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*

II. An Associate?s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

Preferred Qualifications:
Excellent customer service skills are key. Attention to detail coupled with the ability to multi-task and deliver on deadlines, while facing frequent interruptions, are also important. Confidentiality is essential. Candidate will be expected to work independently as well as part of a team. Must have excellent computer skills using Microsoft Office Suite, and must know or be willing to learn the college Banner system and College portal system.
