Provides administrative support to the VP, Chief Compliance Officer in addition to the Global Compliance department. Has extensive interaction with employees and helps provide high quality administrative services to all clients. Support includes office manager, support to senior staff, calendar and travel management, telephone and computer support, filing, team activity support, and tracking of documents, mail handling, and maintaining reference materials. Deals with highly sensitive and confidential material which necessitates a high degree of confidentiality.
:Answers phone and directs callers, types correspondence and prepares/edits presentation materials, routes mail, maintains calendar, maintains project lists, schedules meetings and makes travel arrangements as needed for VP, CCO and Global Compliance staff.
:Organizes department wide meetings, coordinates team building events and prepares presentations, documents and forms.
:Regularly interacts with executive personnel.
:Develops and maintains hard copy and on line filing systems by organizing information for accuracy and accessibility. Orders supplies and ensures that supply inventory is adequate.
:Processes expense reports and check requests, may track department budget.
:Supports preparation for meetings. May maintain corporate record books, meeting minutes, notes, and resolutions in a manner acceptable by corporate officers for easy retrieval and review.
:May be responsible for other administrative duties as assigned and may work with others in Global Compliance group as needed.
:3 to 4+ years of secretarial/administrative or equivalent experience
:Strong organizational skills; able to set priorities, handle multiple tasks and projects; track and follow:up on projects.
:Strong communication skills; able to handle a variety of internal and external contacts via telephone, e:mail and in person.
:Proficient in computer programs, including MS Office Suite and Outlook.
:Able to work independently and as team member, and exercise good judgment to handle a variety of situations.
:Excellent grammar, proofreading, typing and business writing skills.
:Associate's Degree or equivalent experience.
