Description

Function: Under the supervision of the Executive Director, the Executive Administrative and Policy Assistant will be responsible for providing high-level administrative support with minimal direction for both the Executive Director and the Associate Vice President for Programs, and will support the Executive Director in policy, advocacy, and community engagement. Confidentiality is of the utmost importance.

Representative Duties:

1. Oversee all day-to-day activities to ensure the smooth functioning of the Executive Office:

Accurately drafts routine correspondence, edits and/or types correspondence and other documents.
Utilizes word processing, spreadsheet and other graphic programs to create graphs, tables, overheads and other documents.
Coordinates inventory and replenishing of office supplies.
Schedules meeting rooms and provides related logistics which may include notifying participants, ordering food, taking meeting minutes, and coordinating internal IT and Facilities staff as needed.
Interacts with external clients and maintain appropriate interpersonal relationships with employees, peers, and consumers.
Facilitates special event registration and execution.
Assists in the planning and follow-up of meetings and events as assigned.
Processes travel/conference arrangements and prepares post-travel expenses.
Provides non-technical back-up troubleshooting for computer, copier and other hardware systems.
Faxes and photocopies as necessary.
Answers, screens, prioritizes and routes or takes messages for incoming calls as appropriate.
Prioritizes incoming mail and processes accordingly.
Conducts special projects, as directed.


2. Provide administrative support to the Executive Director around public policy initiatives:

Researches and tracks issues, news, legislation, and policy ideas related to agency mission.
Assemble and analyze data to prepare reports, documents, and presentations as needed.
Supports the Executive Director on policy, advocacy, community organizing, and public communication.
Provides logistical and communications support for the Project ABLE Coalition (AIDS Budget Lobbying Effort).
Develops and implements digital advocacy strategy, including creation of action alerts and social media in coordination with Communications Department.


3. Meet agency participatory expectations:

Adheres to all agency and departmental policies and procedures
Participates in quality assessment and improvement activities as requested.
Adheres to the highest principles of confidentiality.
Adheres to established safety policies, procedures and precautions; identifies potential or actual unsafe situations in the environment and takes measures to rectify the situation.
Attends all required meetings, in-services and professional trainings.
Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities.
Serves on agency committees and in professional organizations when requested.


4. Perform related duties and projects as assigned:

Qualifications:

Minimum Bachelor’s degree or equivalent experience.
At least two years of experience in HIV/AIDS public policy, legislative advocacy, or community organizing.
Proficient in typing and computer skills, and in-depth knowledge of relevant software including Microsoft Word, PowerPoint, Outlook, and Excel.
Strong administrative, organizational, and problem solving skills.
Ability to maintain confidentiality.
Attention to detail and accuracy.
Ability to adapt quickly in a fast-paced, multicultural environment
HIV/AIDS and LGBT sensitivity and awareness.
