Job Title: Front Desk/Office Manager-Full-Time, Exempt (Salary)

Job Description Summary; A Front Desk Agent/Office Manager will exceed the expectations of all guests/employees in a multitude of tasks that include, but are not limited to: all Front Desk tasks, managing front desk/staff, general HR Administration, payroll, employee relations, maintaining positive employee morale, maintaining personnel files, hotel record-keeping, and labor law compliance.
The Front Desk/Office Manager must comply with the property's dress code, possess good communication skills and a thorough understanding of Tourists policies, and have the ability to resolve conflict. All Tourists employees, even those that are not exposed to guests on a day-to-day basis, are expected to greet all guests in close proximity and make each feel important by providing a genuine welcome. Furthermore, Office Managers must develop and maintain the company's culture, values and reputation in the public eye, and with all staff, guests, vendors and partners. Front Desk/Office Managers must promote the Tourists Mission in all actions and decisions and are accountable to the overall team.
Based upon fluctuating demands of the operation and to exceed customer expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. This person may be expected to perform other tasks and duties as needed or as directed. Furthermore, employee responsibilities and job descriptions are subject to review and revision.
Essential Functions and Accountabilities;
Adhere to all standards of operations, policies and procedures, manuals, training material, memos and verbal instruction
Maintain a high level of personal hygiene and adhere to dress code policies
Ensure all employees maintain a high level of personal hygiene and adhere to dress code policies for their scheduled shift
Establish cost improvement objectives and implement action plans
Assist departments with customer complaints regarding billing issues
Follow inventory standards and procedures to consistently conduct an accurate inventory
Process payroll and generate labor reports
Data entry of all schedules and responsibility for historical tracking
Maintain record keeping, checklists, employee information, and hotel information
Maintain all employee files in accordance with state and federal law
Coordinate benefit enrollment dates for staff with Human Resources
Assist in guest services (help front desk with check-outs, check-ins, concierge questions, etc)
Assist with special events and preparation
Ensure notes are taken from all Management meetings &Maintain superior standards of quality control
Manage employee review dates and standards
Manage and minimize overtime
Manage office supply inventory and ordering
Assist accounting with invoice approval and proper departmental allocation
Oversee all department schedules and create a hotel master schedule
Process Worker's Compensation claims
Ensure adequate training on injury and incident procedures
Ensure open lines of communication with all departments and upper management at all times via email, log books, meetings, etc., to ensure all needs of the hotel are met
Maintain a high level of cleanliness and safety in the work area
Ensure that all equipment is maintained in good, safe working condition
Maintain an increased awareness of safety issues throughout the property
Act as the person of contact for all guest complaints and concerns in the absence of GM and Guest Relations Manager
Reports Directly to: General Manager-Also works for: Assistant GM
Directly Supervises: Front Desk -Indirectly Supervises: Maintenance Staff
Experience; Two (2) years related experience in hospitality or service industry. and High School Diploma
